I have done many conventions in another industry. Many LARGE companies arrange meetings months in advance rather than use booths. They rent suites in the hotels at a convention site usually and take meetings all day. It's done at conventions where people fly in from all over the world. There are manuals and social media info of all companies in attendance at conventions and what they do and contact info. This is all normal routine protocol. And it is known way in advance who has what to offer in this energing industry where these companies already know each other and what they offer to each other all over the world.
