You are receiving this email because your studio has been selected for closing. The milestones below have key dates that must be followed by internal and external parties. Please read this notification in its entirety before beginning the closing process.

Note: For all studio related tasks outlined below, follow your normal Labor Schedule. There will be no additional hours needed to complete this project.
Wednesday, January 16th
* Note - Communicate closing instructions to field
* Studio Action - Begin rescheduling appointments that are booked beyond Saturday January 19th to earlier in the week or to an alternative PictureMe Portrait Studio location.
Saturday, January 19th
* Studio Action - Studio last shoot date, final portraits will arrive Wednesday January 23rd.
* Studio Action - Print & review open orders and burn all non-delivered customer CD's where applicable
* Studio Action - Record a new answering machine message. Script can be found on page 2
* Note - Appointment scheduling has been shut down past this date
* Note - Direct customers to view or make additional purchases of their images on MyOnlinePortraits
Sunday, January 20th through Tuesday, January 22nd
* Studio is closed for business and at no time is to be staffed
Wednesday, January 23rd - Studio Hours 10am to 5pm
* Studio Action - Portraits and Large Format orders will arrive from the lab
* Studio Action - Close (Deliver) all Open orders in SAS by the end of the day
* Studio Action - Include all cash in your end of day deposit and run the money order through the FD200. This final money order is to be added to the camera box for shipment back to the home office.
* Note - Pre-labeled UPS boxes and packing materials will arrive at the studio on this date. Please notify the Wal-Mart dock that this shipment is expected.
* Studio Action - Print the "Customer Closing Notification sign" and hold onto it until end of day Friday. This will be taped to the front of the POS counter at that time.
* Studio Action - Begin to pack ALL studio equipment for pickup on Friday, January 25th.
o Wait to shut down all SAS and networking equipment until Thursday January 24th
o Review the Packing Checklist (see page 3) for additional directions on what equipment to pack
o Store packed boxes away from the studio entrance for safety and security purposes
o Power packs must be fully discharged: Refer to Properly Uninstalling Lighting Equipment below
o Use the bubble wrap provided to package any materials
o Work with the Wal-Mart store manager where a ladder is needed
Thursday, January 24th - Studio Hours 10am to 5pm
* Studio Action - Shut down and pack all SAS equipment
* Studio Action - Keep track of all clock-in and clock-out times and call your hours into your DM at the end of the day so that you can be paid accurately
* Studio Action - Finalize all packing and place all boxes at the front of the studio for UPS pickup that is scheduled on Friday, January 25th
Friday, January 25th
* Note - UPS will pick up all UPS boxes containing studio equipment. This pickup has already been scheduled
* Studio Action - Take all un-delivered customer portraits to the sister studio. Also include a copy of the Open Orders Report with the undelivered portraits.
* Studio Action - Dispose of all trash and debris properly and broom sweep the entire studio space. All furniture and wall displays are to remain in place.
* Studio Action - Studio associates will call district manager and provide all remaining clock-in/out times
* Studio Action - Tape the "Customer Closing Notification Sign" to the front of the POS counter.
Note: The studio needs to be left in a clean state and all CPI equipment outlined in this document needs to be returned as defined. An audit will be done to make sure this has been completed properly and that all equipment was safely returned to home office. Studio Managers are responsible for this entire process.
Closing Studio Answering Machine Script:
"Thank you for calling PictureMe Portrait Studio in (insert town). As of Saturday, January 19th, this location will no longer be accepting appointments but there are many other locations available to take care of your portrait needs. Please visit our website at ----------- and click the locations button to find another studio near you.
If you're calling to pick-up portraits, associates will be available in the studio until Friday, January 25th to deliver portraits from current sessions. After that date, all remaining portraits can be picked up from the (insert sister studio information) at your earliest convenience. Thank you for your patronage and please don't forget to visit (The website)!"
PROPERLY UNINSTALLING PORTRAIT STUDIOS LIGHTING EQUIPMENT
1. Turn OFF power switch on all Power Packs
2. Wait at least 60 Seconds to allow all capacitor voltage to drain.
3. Unplug the power cord from the wall outlet.
4. Press TEST BUTTON to discharge any remaining voltage.
5. Disconnect all cables from Power Pack.

UPS Shipment - Friday, January 25th
Begin packing as soon as boxes and bubble wrap arrive

US Robotics dial up modem and power cable
Netgear 16 port networking switch(s) and power cable(s)
Juniper VPN and two-piece power cable

Wilife Security Camera and power injector
Keep each device with its corresponding power cable
Items that will not be packed for shipment by the Studio
